Bio‑Expo Live is a free virtual event that helps biopharma professionals find the right tools and solutions for drug development. It gives partner companies a platform to showcase how their products or services can solve real challenges and support innovation.

This event is an easy, cost-effective alternative to in-person expos. Past attendees prefer the convenience of exploring solutions from their screens.

What’s Included in Your Sponsorship

As a presenting sponsor, you’ll receive:

  • A 15-minute live session to present your solution using slides, video, screen share, or VR demo
  • A full list of event registrants with contact info (delivered within 1 week post-event)
  • A list of audience questions from your session (within 1 week)
  • A list of asset downloads (slide deck or alternative), including contact info (within 1 week)
  • Option to include a custom poll with personally identifiable results (within 1 week)
  • Your company name and logo featured in event promotions and on screen
  • A video recording of your session for reuse (delivered within 2 weeks)

Event Start & Duration
Bio‑Expo Live starts at the time listed on the registration page.
Each company presents for 15 minutes or less.
With intros, closings, and transitions, the full event usually lasts about 2 hours.

Speaker Availability

  • Speakers must log in 30 minutes before the event starts.
  • Stay connected until your presentation is complete.
  • Be ready to present immediately after the speaker before you—timing can shift due to live production.
  • You’ll be off camera and on mute when not presenting, but keep an ear on the session in case the order changes.
  • You may log off once your presentation is over.

Presentation Schedule

  • The final presentation order is shared about 3 weeks before the event.
  • Each presentation follows a 2–3 minute opening by the moderator.
  • We recommend telling your audience to tune in at the official start time (e.g., 10:00am ET) to ensure they don’t miss your session.

Estimated Time Slots:

  • Company 1: 10:05–10:20am ET
  • Company 2: 10:20–10:35am ET
  • Company 3: 10:35–10:50am ET
  • Company 4: 10:50–11:05am ET
  • Company 5: 11:05–11:20am ET
  • Company 6: 11:20–11:35am ET
  • Company 7: 11:35–11:50am ET
  • Company 8: 11:50–12:05pm ET

What Time Should I Share with My Audience?
Tell your clients, prospects, and peers to join the event at the main start time listed on the registration page. This avoids confusion and ensures they don’t miss your presentation.

How Do Viewers Register?
Anyone who wants to attend—clients, prospects, colleagues, etc.—must register through the event registration page. Registration stays open until the event ends.

Do Presenters Need to Register?
No. Presenters will receive a private access link via a calendar invite after submitting speaker details. Be sure to accept the invite and confirm it’s on your calendar.

How Do Presenters Join the Live Session?
Use the special access URL in your calendar invite to join.

Will I Be On Camera?

Yes. Presenters must be on camera during their live presentation.

Is My Presentation Live or Pre-Recorded?

Bio‑Expo Live is a live event. Fully pre-recorded presentations are not accepted.

Can I Include Video in My Presentation?

Yes — you have two options:

  1. Include up to three video clips (2.5 minutes each, 8 minutes total max) within your 15-minute presentation
  2. Display a video link as your downloadable asset (this will replace your slide deck download)

Videos must directly relate to your solution — general company overviews may be declined.

Can I Have Multiple Presenters?

Usually only one presenter per company is supported.
If you’d like more than one speaker (from different locations or camera feeds), submit that request by the Presenter Info deadline. The team will try to accommodate.

What Should My Presentation Include?

You have 15 minutes to engage your audience. Two common approaches:

  • Highlight a product or solution — focus on features and benefits
  • Discuss market trends or challenges and how your company’s solution fits in

Suggested Format:

  1. Intro (1–2 min) – Who you are and what you do (1–2 slides max)
  2. Product/solution overview (4–6 min) – Delivered live via PowerPoint
  3. Demo (optional, 6–8 min) – Live stream, VR, screen share, or video short
  4. Live Q&A (1–2 min) – Moderator-led, with optional backup questions you provide

Presentation Tips:

  • Use visuals: slides, images, demos
  • Present clearly and confidently
  • Use a clean, professional background, good lighting, and a quality mic/camera
  • Bring energy, authenticity, and a friendly tone

What Will the Audience See On-Screen?

During your session, attendees will experience a clean, interactive layout that includes:

  • Live Video Feed: Streams your presentation and camera view in real time
  • Slide Viewer: Displays your PowerPoint slides as you advance them
  • Q&A Box: Attendees can ask questions live (only visible to presenters and hosts)
  • Contact Options: Viewers can click your headshot, name, title, or company to email you or connect on LinkedIn
  • Interest Survey: A simple form lets viewers select which presenters they want to hear from after the event
  • Company Info & Downloadable Asset: Includes your company description, website link, and one downloadable item (your slide deck or alternate asset)

How Many Assets Can I Share On-Screen?

You can display one asset during your presentation. You’ll receive a report after the event showing who clicked it.

What Should I Use as My Asset?

The PDF version of your slide deck is the default and often the best-performing asset.

Other options include:

  • A short video
  • Brochure or fact sheet
  • White paper
  • Webpage link

Your asset should be directly related to your presentation topic. If you don’t provide an alternative, your slide deck will automatically be used.

What’s the Optional Poll Question?

You can include one custom poll during your presentation to engage the audience and gather valuable, personally identifiable responses. Results (with contact info) are sent to you within 1 week after the event.

 

What You Need to Submit:

  • Your poll question
  • Response type:
    • Multiple choice
    • Select all that apply (up to 12 options)
    • Free form (can’t be combined with other types)
  • Your response options (if applicable)
  • Whether results will be shown live or kept private
  • Optional timing if you want results shown at a specific moment (e.g., “slide #7”)

What Makes a Good Poll Question?

  • Simple and quick to answer
  • Relevant to your topic
  • Gives insight into your audience
  • Helps qualify leads
  • Not overly “salesy”

Examples:

  • What’s your biggest challenge in drug development?
  • Which factors matter most when selecting a supplier?
  • How familiar were you with [Your Company] before today?

How & When to Submit It:

Submit your poll question using the Materials Submission Form in the portal by the listed due date.

How It Works During the Event:

  • The poll pops up on-screen (without interrupting your video or audio)
  • The audience can move or minimize the poll window
  • Best results come when you verbally ask the audience to participate

Typical Response Rate:

Expect 15–25% of viewers to respond.

Basic Equipment You’ll Need

  • Strong internet connection
  • Laptop or desktop with webcam
  • Microphone or wired headphones (no Bluetooth)
  • Use Google Chrome and whitelist On24 on your firewall
  • Slides must be in Microsoft PowerPoint (16:9, no PDFs)

For Live Demonstrations (Optional)

If you plan to demo equipment live, you can:

Best Location for Presenting

  • Ideally, present in front of your equipment
  • Or choose a quiet, professional setting with minimal background noise
  • Use a branded or clean background (physical or virtual)
  • If equipment is noisy, reach out for an audio test in advance

Tech Check (Required)

  • You must complete a tech check 1–2 weeks before the event
  • Use the same equipment and location as your live session
  • Schedule it through the Materials Submission Form
  • You can also request extra time to test with the producer

Tech Issues on Event Day?

Who Will the Event Be Promoted To?

Bio‑Expo Live is promoted to:

  • Life Science Connect’s subscriber base (Bioprocess Online readers)
  • Targeted biotech professionals
  • Each sponsor is also encouraged to promote to their own contacts

How Will It Be Promoted?

The event will be promoted through:

  • Bioprocess Online and Life Science Connect websites
  • Email campaigns
  • Social media
  • E-newsletters

Sponsors are encouraged to use the same channels.

What Should I Do to Promote?

Promotion is optional, but recommended—especially in the 2 weeks before the event, when most people register.

You’ll be provided with:

  • A LinkedIn/X image
  • The event logo
  • A custom speaker promo image (after you submit your presenter info)

What Materials Do You Need to Submit?

Company Info (for promotions and on-screen display):

  • Company name
  • Logo
  • Website URL
  • 250-word company description
  • Primary contact info (kept confidential)

Presenter Info (for event visibility):

  • Name, title, and email (used on-screen and in promotions)
  • Mobile number (confidential, for day-of support)
  • Headshot
  • Number of camera connections needed

Presentation Content:

  • Short abstract (1–2 sentences, may be used in promos)
  • Slide deck in PowerPoint (PPT) format only
  • Presentation format (for internal planning only)
  • Optional:
    • Seeded Q&A questions
    • Poll question
    • Alternative downloadable asset
    • Virtual backdrop

PowerPoint Requirements

  • Must be in 16:9 widescreen format
  • Use standard fonts: Arial, Calibri, Verdana, Times New Roman
  • No embedded videos
  • No timed slide transitions
  • If submitting a video (as a separate asset), use .mp4 format — subject to approval

When Are Materials Due?

Check the Materials Submission Form in the portal for the due date.
Late submissions may not be included.

How Do I Submit Materials?

  • Use the Materials Submission Form in the portal
  • Large files? Use WeTransfer, Dropbox, etc.
  • All submissions are kept confidential and used only for this event

How Can We Watch the Event After It’s Over?

  • The event will be available on-demand via On24 within 24 hours after the live session.
  • Registered attendees will get a link by email the next day.
  • If you didn’t register or were a presenter, you can still access it via the registration page.
  • About 3 weeks after the event, all presentations will be available on the Bio‑Expo Live page.

Can We Promote the Event Afterward?

Yes — and it’s encouraged. Here’s how:

  1. Share on LinkedIn
    • Go to Bioprocess Online’s LinkedIn page
    • Click “Show all events”
    • Select your session from “Past Events” and click Share
  2. Use Your Video Cut
    • You’ll receive it within 2 weeks post-event
    • Add it to your website, social media, YouTube, or send it via email
  3. Share Direct Link
    • After 3 weeks, go to the Bio‑Expo Live page
    • Right-click your session to copy the link and share anywhere you’d like
